One system for orders that used to live in Excel, Google Drive and WhatsApp.
Role: Senior Product Designer · 2025 · Designer: Vishwas J Kashyap
MatBook sources bulk construction material for businesses, across vendors, logistics partners and customers. I led product design from V1 to V10, turning a business run on spreadsheets and WhatsApp into one order management platform for sales, operations, finance and customers.
The software was the easy part. The real problem was dependency on the few people who knew where everything was. Teams trusted their spreadsheets and WhatsApp groups, so any new tool had to be faster than those workarounds, or nobody would switch.
I structured the platform around a single order entity (quotation → PO → packing list → container → invoice → ledger) and gave each role a view of the parts it acts on.
Dense tables and detail views that are quick to read, actions in the same place at every order stage, and fewer steps for the things people do fifty times a day.
Automated document flows for invoices and quotations, internal notifications, and a responsive customer portal so customers could check status themselves.
Release in versions (V1 to V10) and treat real usage and internal feedback as the research for the next version.
